Gemstone ERP buyer's guide: what to ask before you buy
Choosing a system is a decision you will live with for years. Use this guide to write your requirements, shortlist vendors and run a fair trial.
1. Write down how you actually work
List how stones come in, move through cutting or treatment, go out on memo and get sold. Note who does each step and where mistakes happen today.
2. Separate must-haves from nice-to-haves
For most dealers the must-haves are stone records, parcels, memo tracking, multi-currency invoices and several users. Lapidary, certificates and AI are often next.
3. Check limits and total cost
Look at limits on stones, customers, users and storage, and add-on costs. Ask what happens if you exceed a limit.
4. Test with your own data
Import 50 real stones and run a week of memos and sales. Importing from Excel should be easy.
5. Ask about security and exit
Ask how data is backed up and how you can export all of it if you leave.
6. Avoid common mistakes
Do not pick on the demo alone, do not skip the trial, and do not forget to involve the people who use it daily.
Frequently asked questions
How long does it take to switch?
For a small dealer with an Excel stock list, importing and learning the basics can take days. Larger stock, history and several locations take longer.
